Mindbody vs Boulevard for Medical Spas

Most medspa owners who contact Grove aren't upset about Mindbody's base price. They're upset about 45 minutes a day — the manual data transfer between Mindbody and a separate EMR for charting and HIPAA compliance. This page breaks it down: what the all-in cost actually looks like, where Boulevard wins, and where it still falls short.

The real cost

What a 4–6 treatment room medspa actually pays

The Mindbody base plan isn't the number that matters. When we sit down with medspa owners and work through everything — the base plan, the marketing tools, the support tier, and the EMR they've been running alongside it — the total is almost always higher than they realized.

Mindbody — All-In
$1,400–$2,200
per month, before marketplace commissions
Accelerate plan (base) Where most medspas land after the starter plan expires
$469/mo
Messenger AI (automated marketing) Text and email automation — required for modern retention
$179/mo
Dedicated support Without this tier: AI routing, 60–90 min hold times
$600–$1,000/mo
Separate EMR subscription Mindbody has no native HIPAA charting — most practices run Aesthetic Record, Jane App, or similar alongside it
$150–$400/mo
Marketplace commission 20% on app bookings, including clients from your own marketing

Why this comparison is medspa-specific

What we hear from medspa owners who come to Grove

Mindbody was built for fitness studios — class schedules, waitlists, bulk bookings. Medical spas need charting, consents, before/after documentation, and room-level resource scheduling. That architectural gap shows up every day. These are the patterns we see most. If you want the bigger picture before getting into cost specifics, start with our medspa overview.

The 45-minute daily transfer

Mindbody has no native HIPAA-compliant charting. Most medspas build a second system — Aesthetic Record, Jane App, or a custom EMR — alongside it and sync the two manually each day. One medspa owner described it as "the first thing we do every morning, and the last thing we check every night." That's 45 minutes. Across a year, it's 270 hours of work that shouldn't exist.

"We had Mindbody for scheduling and Aesthetic Record for charting. Every day started with making sure they matched. I didn't realize how much mental energy that took until it was gone."— Google review, medspa owner

Pricing changes that arrived without warning

Medspas report billing changes that landed before the conversation did — $65/month becoming $435, $85 becoming $599. The pricing gets restructured, and the new bill arrives first. COVID-era contracts discounted rates for practices that signed in 2020 and 2021; those contracts are now expiring at full price, 20% or more above last year's bill.

"We went from $85 to $599 without a single email warning. By the time we noticed, we'd already paid two months."— Trustpilot

Before/after photos living on personal iPhones

Mindbody has no native photo gallery. NPs and APRNs photograph treatment results on personal iPhones, then text them to a shared folder or email them to a practice management app. Every step in that chain is a potential HIPAA gap — not because the intent is wrong, but because the platform gave them no better option. We go deeper on the HIPAA specifics here.

"I knew it was a problem. I just didn't have a better system inside Mindbody."— Reddit, r/medspas

What medspa owners tell us they notice first

Native charting eliminates the second system

Boulevard's HIPAA-compliant charting is built into the platform — treatment notes, consents, medication records, provider sign-off. For medspas running Mindbody and a separate EMR, this collapses two monthly subscriptions and 45 minutes of daily data entry into one system. The feedback from MDs and APRNs who've made the switch is consistent: the first week feels like getting time back.

↓ Eliminates separate EMR subscription ($150–400/mo) and daily manual sync

Before/after photos where they belong

Boulevard's native photo gallery ties directly to the client record — no separate app, no shared folder, no photos texted from a personal iPhone. NPs and APRNs reviewing Boulevard on Capterra and G2 specifically named this as the feature that eliminated a genuine clinical workflow problem. "Game-changing" is how more than one NP described it, and it's the one place we'll use that word: the clinical context earns it.

"The single biggest operational improvement" — Capterra, NP reviews

Resource scheduling that maps to how a medspa runs

IV therapy rooms. Laser rooms. Consult chairs. Mindbody's resource scheduling was designed for fitness equipment. Boulevard's room and resource assignment is built for appointment-driven clinics — each service maps to a specific room, and a double-booked treatment room shows up immediately instead of at the appointment itself.

The assessment

Where Boulevard still falls short

Grove's credibility comes from naming these before you ask. Boulevard is the right fit for most appointment-driven medspas — but not without caveats.

The mobile app is weaker

Mindbody's consumer app has a much larger installed footprint. For medspas still in active acquisition mode — relying on Mindbody marketplace discovery to find new patients — that's a real tradeoff. Boulevard's app handles direct booking well; it won't replace the new-patient traffic the Mindbody marketplace generates for practices earlier in their growth.

Onboarding quality is inconsistent

Boulevard's onboarding team varies by implementation. Some medspa transitions are excellent — the account manager stays engaged through go-live and the first billing cycle. Others move fast and leave gaps in the charting configuration that surface later. Ask specifically whether your onboarding lead has medspa experience. The answer matters.

Multi-location pricing adds up

Boulevard's per-location pricing works well for single-location medspas and small groups. At 5+ locations with centralized reporting, shared patient records across sites, and enterprise-level needs, the structure becomes less favorable. Zenoti is worth evaluating seriously at that scale — it was built for multi-unit enterprise operations in a way Boulevard wasn't. See the full alternatives comparison if that's closer to your situation.

Our call

Who should stay on Mindbody — and who should switch

Consider staying on Mindbody if
  • You're in active patient acquisition mode and the Mindbody marketplace is driving meaningful new bookings — not just recapturing patients who already found you through another channel
  • You run a class-heavy schedule alongside medspa services and that class infrastructure is load-bearing — Mindbody was built for classes; Boulevard wasn't
  • You have 5+ locations with centralized enterprise reporting needs — Boulevard's per-location pricing works against you at that scale
  • You've just signed or renewed a contract and the switching cost plus the $499 data export fee doesn't pencil out this cycle
Boulevard is worth a serious look if
  • You're running a separate EMR alongside Mindbody and doing a manual daily data transfer — that's the clearest sign the architecture isn't designed for your practice
  • Staff are storing before/after photos on personal iPhones or in a shared folder outside the platform — that's a HIPAA gap, not a workflow preference
  • Your all-in monthly cost is above $800 — once Messenger AI and dedicated support are factored in, the gap from Boulevard's pricing becomes significant
  • You've had pricing changes arrive without advance notice — we hear this from enough practices that it appears to be a pattern, not an exception
The switching question

What the migration actually looks like for a medspa

Three things every medspa owner asks before she commits to this. Here's what's actually true about each of them.

The $499 data export fee

Mindbody charges $499 — listed in their terms as a "data export service fee" — to export your client records, appointment history, gift cards, and packages when you leave. It catches most practices off guard because you don't encounter it until you're already trying to go. It's a one-time cost that is typically recovered inside two months on a lower all-in plan.

We'll tell you upfront whether there's a way around this fee for your specific setup. Boulevard's team handles the actual transfer — knowing the workaround before you start is the difference between a $499 surprise and a line item you planned for.

What transfers — and what doesn't

Client records, appointment history, gift card balances, and active packages transfer with the Mindbody export. Treatment notes and HIPAA charting from a separate EMR require their own export from that system — that's a separate process. Before/after photos stored outside the platform need to be manually re-imported into Boulevard's gallery. Build this into your migration timeline before you set a go-live date.

We walk through exactly what transfers and what requires manual work on the first call. Nothing that catches you off guard later.

Building the transition window

The most common mistake: canceling Mindbody before Boulevard's charting and scheduling are fully configured. Medspa switches require a longer configuration window than a typical salon — charting templates, consent forms, provider sign-off workflows, room assignments. Build 3–4 weeks between Boulevard's go-live date and your Mindbody cancellation. More on this in our medspa FAQ.

The practices that handle this well run both systems in parallel for one billing cycle. It costs one month of overlap. It avoids a week of clinical disruption.
