Medical Spa Software Guide

Mindbody Alternatives for Medical Spas

The question we hear most from medspa owners isn't "should I leave Mindbody?" It's "what's actually built for us?" Most practices evaluating alternatives have already accepted that Mindbody isn't the answer — they're running a separate EMR, charting in a second system, storing before/after photos on iPhones they shouldn't be using for HIPAA purposes. This page walks through five platforms — what each one handles well, and where each falls short for clinical aesthetics practices.

The real issue

Why medspas outgrow Mindbody

Mindbody was built for fitness studios. It does class schedules, waitlists, and bulk packages well. It does not have native HIPAA-compliant charting — and that single gap is what defines the medspa experience on the platform. Most practices compensate by running a second system alongside Mindbody: Aesthetic Record, PatientNow, Jane App, or a purpose-built EMR. Two subscriptions. Two logins. A daily manual data transfer to keep them synchronized. (For the bigger picture on how Grove thinks about medspas specifically, start here.)

That transfer averages about 45 minutes a day for a mid-size medspa. Across a year, that's 270 hours of administrative work that exists entirely because the scheduling platform and the clinical platform don't talk to each other.

The five platforms below are evaluated on medspa-specific criteria. Not just pricing. Not just UI. The clinical functionality that determines whether a medspa can actually run on a single system — or whether the workarounds just follow you to the new platform. What medspa software actually needs to handle

These are the six areas that separate a platform built for medspas from one that happens to accommodate them.

Five platforms evaluated for medspa-specific needs

Ordered by fit for most independent medspa practices — not alphabetically, not by marketing spend.

Boulevard

Key strengths

  • Native HIPAA-compliant charting — eliminates the need for a separate EMR for most practices
  • Before/after photo gallery built into the client record — NPs and APRNs have called it "game-changing" in clinical reviews on Capterra and G2
  • MD review workflow native — provider sign-off without a third-party workaround
  • Resource scheduling native — rooms, IV chairs, and laser suites assignable per appointment
  • All-in pricing $300–600/month — versus $800–2,200 when Mindbody + EMR + dedicated support are combined
  • Direct booking only — no marketplace commission (Mindbody charges 20% on app bookings)

Where it falls short

  • Mobile app has a smaller footprint than Mindbody — weaker for new client discovery if you're still in active acquisition mode
  • Onboarding quality varies — some implementations are excellent, others move fast and leave configuration gaps; ask specifically about your implementation lead before committing
  • Multi-location pricing adds up — less favorable at 5+ locations than enterprise platforms like Zenoti
Who should consider it: Single-location or small-group medspas currently running Mindbody alongside a separate EMR. The ROI is clearest when you add up both subscriptions, the dedicated support tier, and the daily manual transfer cost that disappears when you're on one system.
Zenoti
Best for multi-location groups

Key strengths

  • Enterprise-grade multi-location management — centralized reporting and shared client records across sites
  • Strong in-platform marketing, loyalty, and membership tools
  • Deep integration capabilities with EMR and third-party clinical systems
  • Larger platform surface area — covers more edge cases out of the box than most alternatives

Where it falls short

  • Pricing scales quickly and is complex to evaluate upfront — not well-suited for single-location practices
  • Implementation is heavy — 3–6 month onboarding is standard, typically managed by a Zenoti-certified partner
  • Overkill for most independent medspas — you pay for enterprise features most single-location practices won't use
  • Less specialized for clinical aesthetics — the before/after photo handling doesn't match Boulevard's native gallery
Who should consider it: Medspa groups with 5+ locations, or practices with enterprise reporting, centralized client records across sites, and integration needs that smaller platforms don't cover cleanly. For a single-location medspa, Zenoti is almost always more than what's needed.
PatientNow
Best for clinically-led practices

Key strengths

  • Purpose-built for aesthetic medicine — medical records, consents, and HIPAA compliance are native to the platform
  • Strong for practices where the MD is central to every treatment decision and documentation is primary
  • Built-in marketing automation designed for aesthetic practices specifically
  • Strong on before/after photo management within the clinical record

Where it falls short

  • Scheduling and booking UX is weaker than Boulevard or Mindbody — it's primarily a clinical records system with scheduling layered on
  • Steeper learning curve for front-desk staff whose focus is booking and client management rather than clinical documentation
  • The medical-practice orientation can feel heavy for spa-adjacent medspa owners where client experience is as important as the clinical side
Who should consider it: Practices where the clinical record is genuinely primary — plastic surgery-adjacent medspas, practices with heavy MD oversight across all treatments. Less appropriate when the booking experience and client retention tools matter as much as the clinical documentation.
Aesthetic Record
Documentation-focused; not a full replacement

Key strengths

  • Excellent HIPAA-compliant charting and clinical documentation — purpose-built for aesthetic providers
  • Strong before/after photo management — many NPs and APRNs are already familiar with it
  • Lower price point for the charting and documentation features specifically
  • Widely adopted in aesthetic medicine — there's a real user community with established templates

Where it falls short

  • It's a clinical documentation platform, not a full booking and business management system — you still need a scheduling platform alongside it
  • Running Aesthetic Record + Mindbody is the exact two-system problem this page exists to solve; a new booking platform creates the same daily synchronization friction
  • If you're switching away from Mindbody to consolidate your stack, Aesthetic Record alone doesn't get you there
Who should consider it: Practices that have already decided on their booking platform and want dedicated clinical documentation — charting, consents, before/after photos — layered on top. Not a standalone Mindbody replacement — it handles one half of the equation, not both.
Jane App
Best for integrative health practices

Key strengths

  • Clean, intuitive scheduling UX — well-reviewed by both staff and clients
  • HIPAA and PIPEDA compliant — strong privacy and compliance track record
  • Charting templates and clinical notes native to the platform
  • Honest pricing with no hidden add-ons — what you see is what you pay

Where it falls short

  • Less specialized for aesthetic medspas — charting templates lean toward integrative health rather than aesthetics-specific documentation
  • No native before/after photo gallery on par with Boulevard's implementation
  • Smaller footprint in the aesthetics community — limited peer reviews from medspa owners specifically
Who should consider it: Integrative health practices that blend aesthetics with other modalities — acupuncture, functional medicine, holistic health. A strong fit for that overlap; a less natural fit for pure-play aesthetic medspas where the clinical aesthetics workflow is central.

How Grove evaluates this

What happens on the first call

When a medspa owner contacts Grove, the first thing we do is understand the current stack — what's running for scheduling, what's running for clinical documentation, and what the friction points actually are day to day. Sometimes the answer is Boulevard. Sometimes it's a different platform on this list, or staying on Mindbody with a better-configured EMR alongside it. We only get paid when a business switches through us to Boulevard — which is exactly why we tell you when that's not the right call. Curious what HIPAA specifically looks like on Mindbody versus a native-charting platform? We cover that in detail here, and the medspa FAQ answers the questions owners ask most before switching.
